CONTMAN EMPLOi as part of the CONTMAN DIRECTOR ecosystem is a digital system for storing employee-related documentation, replacing traditional paper personnel files. It includes HR documents such as employment contracts, work certificates, medical certificates, holiday documents, and other records that an employer is required to keep in employee documentation. The electronic employee file CONTMAN EMPLOi also allows for storing any other employment-related documents that are not part of the personnel files. This form of archiving provides more convenient access to HR documents, automates processes, and ensures data protection against loss or destruction.
The electronic employee file simplifies document management, especially in companies with a large workforce, and also supports environmental sustainability by eliminating the need for paper. Since 2019, Polish law fully allows the maintenance of HR documentation in electronic form.

It allows for the storage of both documents created directly in electronic format and scans of paper originals. The key to efficiently using this system is proper cataloging and numbering of employee records, which facilitates searching and browsing.
In the CONTMAN EMPLOi system, a complete set of employee documentation is collected – from recruitment, through employment, to the end of the collaboration. However, for this digital archiving to comply with regulations, it must meet specific requirements. These include rules regarding storage, security, and access to records, as well as procedures for issuing employee documents or exporting personnel records to other systems.
